Quality Control Checklist

A pre-shipment inspection list covering sampling, measurements, function, packaging, labels, and the photos you should keep before paying the balance.

Before the inspector arrives

Put the current purchase specification, approved sample record, packing instruction, and defect definitions in one folder. The inspector should not have to choose between a supplier chat, an old spreadsheet, and a new label file.

  • Approved sample and written spec in the same folder.
  • AQL level and defect definitions the factory already received.
  • Carton marks and barcode rules for the destination.

On the floor

  • Open more than one or two cartons per SKU.
  • Measure critical dimensions against the spec, not the listing photo.
  • Function-test a defined sample, including accessories and firmware if relevant.
  • Photograph packaging, labels, and any damage.
  • Replace crushed cartons before export.

Before accepting the report

  • Confirm the report identifies the factory, date, SKU, lot quantity, and cartons sampled.
  • Check that measurements and function tests show results, not only photographs of the test setup.
  • Read the defect table and open the full-size photos for every failure.
  • Compare carton quantity, labels, gross weight, and dimensions with the shipping file.
  • Keep the lot and remaining payment on hold until the buyer records a release decision.

If the lot fails

Ask the factory for a written sorting or rework plan tied to the reported defects. Decide whether the corrected lot needs another inspection or a defined screening of every unit. A few repair photos do not prove that the rest of the lot was corrected.
